We only collect what you choose to give us. When you submit the enquiry form, we collect:
If you choose to receive updates about the book IT in Hospitality when downloading the free templates on the book page, we collect your name and email address, and — only if you choose to give them — your property name and role. This is optional; every template can be downloaded individually without providing anything, and every update email includes an unsubscribe link.
We also measure how the site itself is doing — which pages get read, where visitors arrive from and roughly which country they are in — using Google Analytics and Cloudflare Web Analytics. What each of those involves, and the choice you are given over the first, is set out in section 4. Loading web fonts from Google Fonts means your browser makes a direct request to Google, which can see your IP address as part of that request. See section 5.
Only to respond to your enquiry, prepare a quote, and keep a record so we can support you if you become a customer. We do not send marketing you didn't ask for, and we never sell or trade your information.
We use Google Analytics to understand which pages people read, where they arrive from and roughly which country they are in. We do not run advertising, we do not use Google Signals, and we do not share this data with Google for advertising: advertising storage, ad user data and ad personalisation are switched off permanently. They are not offered in the banner either, because consent for something we do not do would be meaningless.
Analytics is off until you allow it, wherever in the world you are — not only in the EEA. On your first visit a banner asks. If you accept, Google Analytics sets cookies in your browser (_ga and similar) which let it recognise a returning visit and count it as one person rather than two. If you decline, no analytics cookies are set and nothing identifying you is stored on your device; the page view is still counted, without a cookie and without an identifier, which is what makes declining a real choice rather than a button that turns the site off.
Your answer is remembered in your browser's own local storage, not in a cookie, so you are not asked again on every page. To change it, clear this site's stored data in your browser and the banner will ask again.
Alongside that we use Cloudflare Web Analytics, which counts page views and measures how quickly pages load. It is added at the edge rather than by this page, and the banner does not ask about it because there is nothing to ask: it sets no cookies, stores nothing on your device, does not link your visits together and does not build a profile of you. It runs whether or not you allow Google Analytics.
Beyond the above we set no cookies and we do not follow you around the web. Cloudflare, which sits in front of the site, may set a short-lived cookie to tell a person from automated traffic; that is security, not measurement.
Your enquiry is transmitted over an encrypted connection and stored on infrastructure we control. We take reasonable technical and organisational measures to protect it, but no method of transmission or storage over the internet is completely secure.
For as long as reasonably needed to respond to you and, if you become a customer, to support that relationship. If your enquiry doesn't proceed, ask us and we'll delete it.
Wherever you're based, you can ask us to access, correct or delete the personal data we hold about you, or to withdraw consent at any time. Use the contact form and we'll respond within a reasonable time.
This is a different relationship and it matters that the distinction is clear.
When a hotel uses Resort Manager Hotspot, the guests who connect to that hotel's Wi-Fi give their data to the hotel. The hotel decides what is collected and why: it is the data controller. We host and process that data on the hotel's instructions, as its processor, under a data-processing agreement entered into at signup.
So if you are a hotel guest and you want to know what a property holds about you, or you want it deleted, the property is who to ask. They have the tools to answer you directly, and the privacy notice shown on their Wi-Fi portal is theirs, naming them. If you contact us instead, we will pass your request to the property and tell you we have done so.
What we do on our own account with that data is limited to running the service: hosting it, keeping it secure, and deleting it when the property's retention rules or instructions say to. We do not use hotel guest data for our own marketing, and we do not sell it. How it is protected — per-property encryption keys, country-specific retention, consent records — is described on the data protection page.
If we change how we handle personal data, we'll update this page and the date above.
