Guest CRM

Every guest who signs in, remembered.

Each Wi-Fi sign-in becomes a guest record: who they are, how often they come, when they were last in, and whether they said yes to hearing from you. Add notes, tag the regulars, and send the emails that bring them back, from templates you write once. Included in every plan.

Cafés, bars, restaurants, beach clubs and hotels. Included in every plan, and plans start at $30 a site a month.

The guest record

What you know about each guest

Built from the sign-in, kept up to date by every visit, and searchable by name or email from the console.

Who they are

Name, email, and whatever else your sign-in page asks for: phone, country, language, age band. Only what the guest gave you; nothing is guessed.

How often they come

Every visit counted, and the date they were last in. The regular of three years and the couple who came once look different, because they are.

Notes

Anything your staff should know: prefers the window table, allergic to nuts, booked the anniversary dinner. Dated, and kept with the guest.

Tags

Your own labels: regular, local, wedding party, staff’s family. Filter the list by them, and send a campaign to them.

Every email they were sent

Which campaign or automatic email reached them, and when, on the guest’s own record.

Their permission

Whether they agreed to marketing, with the wording they saw and when. When a guest asks, withdraw it for them in one click. Data protection →

Emails

Write it once, send it again next month

Nobody running a café has time to design an email from scratch every fortnight. So you don’t.

Templates

Templates you reuse

Design an email once, save it as a template, and assign it to any campaign. Next month, duplicate it, change the date and the offer, and it is ready to go.

Preview

A preview before it goes

See exactly what a guest will see, subject line and all, before anything is sent.

Timing

Sent at the right moment

A welcome after the first visit, a note to people you have not seen for however long you choose, a message on their birthday, and campaigns to guests picked by when they last came, how often, or by tag.

Sending

1,000 emails a month, in every plan

Every plan sends 1,000 emails a month per site through our service, under your venue’s own name, with your own sender identity and reputation. If a busy month needs more, a block of 10,000 is $8. The month’s allowance does not carry over; a block you buy never expires.

Your venue’s contact gets an email when 200 emails are left, another at 50, and one when sending stops, so a campaign never goes quiet without anyone knowing.

Already have an email account for the venue? Send through it instead. There is no charge from us for sending, and none of the allowance is used.

Running Resort Manager? Resort Manager has its own Guest module. Use it, or use Guest CRM: both are there, and the choice is yours.

Your data

Your guest list stays yours

Export it, free

Download every guest and their consent records as a spreadsheet, whenever you like, on every plan. It will never sit behind a paywall.

Or connect what you use

HubSpot, Mailchimp, Omnisend, Klaviyo, or anything else through a webhook or Zapier: $15 a site a month per integration, or $150 a year. Integrations →

Consent that stands up

Marketing permission is its own tick, never a condition of getting online. Only guests who ticked it receive anything, and every email carries a way to unsubscribe.

Questions about Guest CRM

Is Guest CRM included in the price?

Yes, in every plan: the guest records, notes, tags, email templates and the automatic emails. Every plan sends 1,000 emails a month per site through our service; more are $8 per 10,000, or send through your own email account at no charge from us.

Do I need a CRM already?

No. If you have none, this is it. If you already use HubSpot, Mailchimp, Omnisend or Klaviyo, keep it: new sign-ins can go straight into it for $15 a site a month per integration, and the spreadsheet export is free.

What happens when the emails run low?

Your venue’s contact gets an email when 200 emails are left, another at 50, and one when sending stops. Buy a block of 10,000 for $8, or switch to your own email account.

I run Resort Manager. Which should I use?

Either. Resort Manager’s Guest module and Guest CRM are both available to you: use whichever suits how your team works.

Who receives the emails?

Only guests who ticked the marketing box. Nobody is refused Wi-Fi for leaving it unticked, and every email carries a way to unsubscribe.
